Privacy notice

This notice explains what ICONIQ Systems does with your personal data when you use this site, fill in the application form, and take the call that follows. It is written to be read, not to be survived.
Who we are
ICONIQ Systems is the data controller for the information you submit here.

What we collect
What you type in
- Your full name, email address and phone number, with the country you pick for it
- Your Instagram handle, if you give one
- Your answers to the application questions: who you coach, the value of your initial contracted package, how you currently sign clients and how many sales calls you take, whether you have client results you can show, the Meta advertising budget you can make available per 30 days, whether you currently run Meta ads, how many new clients you could take on over 90 days, and anything you choose to write about why you want to increase acquisition now
- Whether you ticked the call-back box, and the exact wording you were shown
What arrives with the submission
- The time you started and the time you submitted the application, and how long the page had been open
- The address of the page, the page you came from, whether you were on a phone or a desktop, and your time zone
- Campaign tags carried in the link that brought you here, if any: utm_source, utm_medium, utm_campaign, utm_content, utm_term and fbclid
- If you accepted Meta's pixel, the identifiers it stores in your browser (_fbp and, if you came from a Meta advert, _fbc), so an application can be matched to the advert that led to it
What we add
- Our own note of how your answers compare with the founding criteria, and the reasons
- A worked example of the fee for your package band, and which version of the offer and page you saw
- After the call: notes, and a recording and transcript where recording is on (see Recording)
We do not ask for and do not want any special category data: nothing about your health, beliefs, or anything similar. If you put it in the free-text box, we will not use it.
What we do with it, and why we are allowed to

The call-back box is optional. If you tick it, a system places a call to the number you gave, usually within about a minute of submitting, and an AI assistant speaks to you. It introduces itself as an assistant and says so again if you ask. You can ask for a human, hang up, or ask us never to call again, at any point, and it will not count against your application.
If you leave it unticked, no automated call is placed. Your application is still submitted. Instead we email you a short video and a link to book a call at a time that suits you. We still ask for your phone number so that whoever you book with can reach you on the day, and so that we can contact you if email fails; it is not used for an automated call.
Who else sees it
We use a small number of suppliers to run the service. Apart from Meta, they process your data on our instructions and for nothing else. We do not sell your data, and we do not share it with other coaches or agencies.

Some of these suppliers store data outside the UK, mainly in the United States. Where data leaves the UK we rely on safeguards recognised under UK GDPR, such as adequacy regulations or approved contractual clauses. Email us if you would like to know which safeguard applies to a particular supplier.
Recording
Calls with the assistant may be recorded and transcribed, so that we have an accurate note of what was discussed and so that we can improve the assistant. You are told at the start of the call. If you would rather not be recorded, say so on the call or hang up and email us, and we will carry on by email instead.
How long we keep it
- If you become a client: for as long as we work together, and six years afterwards for tax and contract records.
- If you do not: two years, so that we can pick the conversation up if your situation changes.
- Call recordings and transcripts: twelve months.
- Consent records: for as long as we hold your data, plus one year.
If you ask us to delete your data sooner, we will, unless we need to keep some of it to meet a legal requirement or to establish, exercise or defend a legal claim. In that case we will tell you what we are keeping and why.
Your rights
Under UK GDPR you can ask us for a copy of your data, ask us to correct it, delete it, restrict what we do with it, or hand it to someone else. You can object to us using it, and you can withdraw your consent to being called at any time. Withdrawing consent does not affect anything done before you withdrew it.

Complaints
If we get it wrong, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or on 0303 123 1113.
Cookies and similar technology
The application form sets no cookies of its own. For the length of your visit it keeps any campaign tags from the link you arrived on in your browser's session storage, so that they can be attached to your application if you move between pages first. That is cleared when you close the tab.
Meta's advertising pixel runs on the landing page only if you accept it in the cookie choice shown at the bottom of the page. Until you choose, and if you decline, it is not loaded, sets no cookies and sends nothing. If you accept, it sets cookies in your browser (_fbp, and _fbc if you arrived from a Meta advert) and tells Meta that the page was viewed and that an application was submitted. It does not send Meta your answers. Your choice is remembered in your browser; the "Cookie choices" link in the footer lets you change it, and you can also clear the cookies in your browser and control how Meta uses them in your Meta ad settings.
Changes
If we change this notice we update the date at the top. The version live when you submitted is recorded against your application.
